Summary:
The Manager, Annual Campaigns & Donor Systems, exists to support an effective fundraising operation by building robust annual campaigns equipped with efficient, accurate systems and procedures, and providing a steady pipeline of prospects. The manger is primarily responsible for two key Philanthropy Department capabilities:
·        Managing all support processes of the Annual Partners Campaigns conducted by the operating Branches and corporate headquarters, including producing prospect lists, pledge cards and campaign materials; completing gift acknowledgements for the corporate campaign; producing campaign promotional materials; completing annual direct mail campaign; and tracking and monitoring fundraising results and campaign best practices data.
·        Researching prospects and managing member and donor/prospect databases (AS 400/Protivity and Salesforce) and all research and reporting processes, including data integrity and accuracy, donor giving and personal histories, fundraising and donor reports, gift reports and queries for the Annual Campaign and major gifts.
The manager is also responsible for other Department projects as assigned, including budget and variance reporting on a monthly basis. S/He routinely works on projects and assignments with the Philanthropy Department and ARC Staff, as well others from the operating Branches as assigned.
 
Principal Responsibilities:
 
Annual Campaign Management
·        Manage the corporate Annual Partner’s Campaign (APC) and provide support services for the branch campaigns, ensuring compliance with campaign schedules, maintenance of best practices, and recording of best practices/success indicators by working directly with the Branch Executive Directors, staff leadership and, as needed, the Campaign volunteers.
·        Serve as staff campaign manager for the ARC-specific campaign in coordination with the SVP/CDO. Assist the SVP/CDO in developing the strategic direction of the campaign, helping set the financial goal, drafting case statements, providing support for staff and, as needed, training for staff and volunteers.
·        Create and manage the Annual Campaign Plan, calendar, reports, recognition and events related to APC for the Association and Branches, as appropriate and needed. Develop campaign printed material and website communications in collaboration with the CDO.
·        Manage the donor database ensuring appropriate training of business management staff, and/or supervision of other staff when handling donor and contributions data.
·        Manage the annual Kids to Camp direct mail campaign. Coordinate with Bay Area Associations on production of printed materials, mailing, tracking and donor acknowledgment.
·        Manage and coordinate the solicitation, acceptance, acknowledgement and reporting of other camping scholarship gifts as needed.
·        Provide training tools and best practice information for staff and volunteersto become skilled campaigners. Provide tools and support to Branch management to create annual philanthropy plans, and promote and teach philanthropy at the branch level.
 
Member and Donor/Prospect Data Management
  • Develop effective, efficient systems, both automated and procedural, to identify Annual Campaign prospects and donors, and research and identify prospects for major gift cultivation.
  • Conduct and document prospect research to identify new, and further develop current, individual, corporate and foundation major gift prospects.
  • Develop and document donor and prospect profiles utilizing both AS400/Protivity and Salesforce databases ensuring information is current and accurate
  • Master and manage data queries to produce timely, clear, accurate data reports for donor prospecting, invitation lists, mailings, event preparation, etc. Such reports will necessarily identify giving levels and gift types, i.e., annual and major gifts, kids to camp, direct mail, endowment giving, planned giving, special events, etc.
  • Generate timely, accurate mailing and campaign donor/prospect lists, including completing accurate queries, cleaning data and organizing reports and lists for department use, with support from the IT department as necessary.
  • Produce accurate major gift donation reports as needed using queries, donor lists, and spreadsheets.
·        Enter and maintain donor data in AS 400/Protivity and Salesforce member/donor databases.
  • Assist in designing and implementing an effective fundraising infrastructure including databases, website and other media portals for tracking and monitoring prospects and donors.
 
Other Duties
  • In collaboration with the IT manager and CDO, maintain timely, appropriate web site content for the corporate section of the YMCA web site and help coordinate the same for Branch sections of the web site.
  • As needed, complete data entry and gift acknowledgement for Association campaigns.
  • Conduct donor solicitation and acknowledgement phone calls as requested.
  • In collaboration with the CDO, help manage monthly budget and expense transactions, including completing monthly variance reports.
  • Participate in departmental team meetings, planning sessions, and Association-wide special events, such as the Annual Volunteer Dinner and Martin Luther King, Jr. event.
  • Perform other duties as required by supervisor.
 
Job Requirements & Qualifications
  • Bachelor’s Degree.
  • Minimum three years successful experience in annual fund management, including direct mail, large scale campaign procedures and data management, and gift tracking and reporting.
  • Minimum three years experience in managing complex donor databases, including completing data queries. AS 400 database experience preferred.
  • Experience and expertise working with donor databases, such as Salesforce or RaisersEdge.
  • Strong organizational planning, time management and analytical skills, and ability to prioritize competing demands.
  • Excellent verbal and written communication skills and the ability to communicate effectively and appropriately with staff, volunteers, donors and vendors.
  • Maturity, judgment, integrity tact, and demonstrated effectiveness collaborating on teams.
  • Proficient in Microsoft Word and Excel; familiarity with Access, PowerPoint and Outlook mail, task manager software and internet navigation.
  • Flexibility and ability to work evenings and weekends prior to and during events, on an occasional basis.
  • Physical ability to complete data entry/word processing without difficulty or discomfort.  
  • Position may require lifting up to 15 lbs, bending, leaning or kneeling on an occasional basis.
 
Fingerprints will be taken prior to commencement of employment and submitted to the Department of Justice. Training in childcare regulations and standards will be required upon hiring.
